SVP Presenter Audio-Visual Instructions and Requirements


IMPORTANT! There is a strict file limit of 500 MB.


All presentations must be loaded in the SPEAKER READY ROOM COMPUTER (NOT the session room computer) the day before the presentation.
 

NOTE: If arrival issues preclude a presentation from being loaded the day before, then it MUST be loaded no later than three hours before the presentation’s session begins. 

 

Audio-Visual Equipment

All session rooms will be equipped with

1 Mac OS X v10.5 Leopard with Office/PowerPoint 2008 and Keynote 2008

1 Windows Computer, with CD/DVD drive, PC-XP Professional with Office/PowerPoint 2007
 

1 or 2 screens, depending on room size, LCD projectors, laser pointer and microphone. You will not be permitted to connect your own computer to the LCD projector. Bring your presentation on CD or memory stick and bring a backup copy. Your presentation must be in a format that is compatible with the equipment listed above.

SVP will not provide additional equipment – for instance, no ZIP drives, VHS or video players, overhead projectors, 35mm slide projectors, additional computers or projectors will be provided.
 

If you are using an embedded video in your PowerPoint® presentation, or QuickTime® on the Mac, please follow the instructions located below.
 

Saving Your Presentation on CD or Memory Stick

If your presentation includes linked files, such as databases, spreadsheets or videos, be sure to save those in the same folder on the CD or memory stick, as well. Test your presentation on a Mac machine running Mac OS 10.4, if possible, to ensure your presentation runs properly.

  • Use AVI or QuickTime movie formats for Mac computersUse WMV or AVI format if possible for Windows.
  • Do not use Quick Time for Windows based systems.
  • Fonts:
- We can only supply fonts that are included in the base installation of Windows.
- The fonts we suggest using are Times New Roman, Arial and Tahoma.
- Any font other than these will need to be embedded into your PowerPoint presentation. Use of fonts not included in Windows can
  lead to words that bleed into graphics or bullets which may be the wrong style.
- Microsoft provides a utility that can tell you if a Font can be embedded. It is located at the following link:

You can embed the fonts into your presentation by following these steps on the following page:
 

Office XP/2003

  1. Click File, and then Save As.
  2. On the Tools drop down menu select Save Options
  3. At the bottom of the menu you will see an Embed TureType Fonts check box. Check the box.

           

Name the folder with your name, session number, date and time on your CD, i.e. Susan Paleo, Session I, 10/15  2:00. MAC users please add “mac” to your powerpoint’s name. You must bring your CD or memory stick to the AV technician in the Speaker Ready Room the day before your session begins. Your program will be loaded to the network in the Speaker Ready Room so you can access it from the podium. We have a great many speakers scheduled for each day, so you MUST visit the Speaker Ready Room well in advance of your presentation to ensure you will be able to access your files during your presentation. The Speaker Ready Room technician will review your presentation with you to ensure that everything runs as you expect.

Speaker Ready Room

Once you arrive at the meeting, you will be directed to the Speaker Ready Room to load your presentation. 

Please do not expect to visit the Speaker Ready Room to upload your file just before your presentation. 

 

Presenting Your Work

Once your presentation has been loaded to the system in the Speaker Ready Room you will be able to access it from the podium in your meeting room. In the Sessions, the technician will bring up your presentation. You will have control of your presentation and can advance the slides at will. The cursor will be your laser pointer during your presentation. Once you have finished with your final slide, a final click of the mouse will return the screen to the session slide for the next speaker.
